Before Arrival

1. Pick up service (ONLY for residents at the Sunrise Kempinski Hotel & Swan Lakeview Hotel)

At your arrival gate at Beijing airport/ train station, please look for a dark color ICBS sign. You will be guided to the shuttle bus by ICBS volunteers. Contact: Mr. Tengyue Du:(+86)13932889153/1094257292@qq.com. 

You can also take a taxi from the airport/train station to your hotel.

2.1. About internet connection 

The venue of the congress and the hotel have free WIFI. However, to assure the accessibilities to the internet, we suggest you prepare yourself with mobile network and/or VPN service. 

2.2 About SIM card
We highly recommend you activate international data before departure or purchase a temporary Chinese SIM card online or at the airport.

3. Conference venue & map

• The ICBS Opening and Award Ceremonies on July 16 will be at the People’s Hall. 
• All other conference activities on July 17-28 take place at the Yanqi Lake Beijing Institute of Mathematical Sciences and Applications (BIMSA).

6. Accommodation & Dining

6.1 Accommodation for invited guests
If you have asked us to arrange hotel for you, the ICBS Hotel Team should have sent you your hotel confirmation recently. In case you haven't received it, please email ivy@bimsa.cn for hotel confirmation. 
Laundry Service: The hotel provides laundry service at your own expense. Details can be found once you check-in.

For our participants, we provide dining. For your family members, feel free to enjoy the great food of Huairou, Beijing at your own expenses. 

·Breakfast: At your hotel. 

·Lunch: at BIMSA with dining voucher (will be distributed when check-in) during July 17-21 & 24-28, and at the Hotel during the weekend, July 22 & 23. 

·Dinner:
For Sunrise Kempinski residents: at your hotel. 
For all others: at The Swan Lakeview Hotel, starting from 18:00 pm. (see details in 8. Shuttle bus during the ICBS - Dining Service Shuttle Bus)

·Banquet on July 17th evening: all ICBS participants with dining voucher.

8. For ICBS speakers

• If you are using slides, please prepare a USB drive with your slides on it, and bring it to your lecture room at least 15 minutes before your scheduled lecture. Our staff will upload the slides to a desktop, connected the projector/TV screens in the room. 
• If you don’t have a USB drive, you can bring your laptop with your slides on it to your lecture room. Our staff will transfer the slides to our desktop. 
• You can also give a blackboard talk.

Leaving ICBS

9. Drop-off service: Shuttle to Airport/Train station (ONLY for residents at the Sunrise Kempinski Hotel & Swan Lakeview Hotel)

If you need a ride to the airport/train station from your hotel, please inform an ICBS staffer in your hotel lobby the day before your departure. Please give them your name, number of passengers, and your departure information, including departure time and terminal.

On your day of departure, it’s best to depart from your hotel at least 4 hours before your departure time. （3 hours for train). Please check out and wait in the lobby with your luggage. A staff will guide you to the airport shuttle bus.

10. Reimbursement and refund policy

• Receipt: 
• If you have paid registration fee via the registration portal on icbs.cn, receipt will be issued after the conference, from 2023-08-15 to 2023-09-15, when your attendance to the ICBS is confirmed. During that time, please log in, go to the 【Payment & Invoice / 缴费及发票】menu on the left, and generate the electric receipt by yourself. 
• For Chinese domestic participant, a Chinese red-sealed official receipt will be provided. For foreign participant (the system language after log-in is English), an invoiced will be provided instead. If you prefer a Chinese red-sealed official receipt, please email finance@bimsa.cn, including the following information: your request to have a Chinese-style receipt, your log-in email, your name and affiliation. 
• Invitation Letter:
• We have prepared a hard copy of invitation letter with official seal. You can pick it up at the front desk in Lecture Hall A between 09:30-17:00, July 19-28, except Saturday and Sunday. You can come in person or authorize someone to pick it up for you. 
• Refund Policy
• Cancellation request are only handled through email (finance@bimsa.cn), and must include the following information: your registration email, name and affiliation.
• Refund will be processed after the conference, from 2023-08-15 to 2023-09-15.
• No refund for cancellation after 2023-09-15.
